Administrative Assistant
USPS is seeking an Administrative Assistant to assist with task completion tracking, note taking, scheduling and conducting team meetings, managing documents, and performing Standard Operating Procedures for the team. Key Responsibilities: HOW an Administrative Assistant WILL MAKE AN IMPACT - Track tasks assigned to team members and ensure timely follow-through
- Update and manage the team task board, including lanes, statuses, and assignments
- Prepare reports, memos, letters, documentation, and formatted deliverables
- Schedule meetings, manage calendar changes, coordinate logistics
- Attend meetings, capture notes, summarize key actions, and distribute follow-up items
- Manage team data contact lists, team makeup, resource lists
- Coordinate audits: assign tasks, follow up with auditors/SMEs, monitor timelines
- Manage workspace logistics (cube assignments, equipment orders, supplies)
- Submit and track facility support requests
- Collect, archive, and organize e-documents and digital signatures
- Identify process inefficiencies and propose improvements
- Anticipate needs of leadership and team member2
- Organize and maintain structured documentation repositories
WHAT YOULL NEED TO SUCCEED: Required Experience: - 2+ years of administrative or operational support experience
- Demonstrated ability to manage scheduling, meeting coordination, and note taking
- Ability to manage and track tasks, assignments, and deadlines
- Intermediate proficiency in Microsoft Excel (cleaning data, organizing datasets, combining data, filtering, sorting)
- Proficiency with Microsoft Outlook and Microsoft Teams
- Strong written and verbal communication skills (emails, summaries, memos)
- Ability to maintain confidentiality and handle sensitive information
- Ability to work independently and prioritize multiple requests under short timelines
- Highly organized with excellent attention to detail
- Ability to prioritize competing tasks under short deadlines
- Proactive, anticipatory work style

Education Requirements: - Associate's degree in Management, Business Administration, Communications or Liberal Arts or equivalent experience in an IT setting is preferred; however, an additional 4 years of experience can be substituted.
Required Technical Skills: - Microsoft Excel (IntermediateAdvanced): cleaning data, combining datasets, organizing records, pivot tables (preferred)

- MS Project (preferred)
- MS Visio (preferred)
- SharePoint (preferred)
- Task board or work-tracking tools (Kanban boards, Planner, Jira, etc.)
- Office productivity tools (PDF tools, e-signature tools)
Preferred skills: - Experience supporting senior directors, VPs, or executive-level leadership
- Ability to create pivot tables in Excel
- Familiarity with MS Project, Visio, or SharePoint
- Experience in data cleanup and data quality assurance
- Experience with task automation tools (e.g., Power Automate, Outlook rules)
- Basic familiarity with Power Apps
- Experience coordinating audits or compliance-related tasks
- Government, USPS, finance, or IT department support experience
Security Clearance Level: - Ability to obtain and maintain a Public Trust clearance and successfully pass a thorough Government background screening process requiring the completion of detailed forms and fingerprinting
- This position has a U.S. residency requirement.The USPS security clearance process requires the selected candidate to have resided in the U.S. (including U.S. Territories) for the last five years as follows:U.S. Citizens cannot have left the U.S. (including U.S. Territories) for longer than 6 months consecutively in the last 3 years (unless they meet certain exceptions). Non-U.S. Citizens cannot have left the U.S. (including U.S. Territories) for longer than 90 days consecutively in the last 3 years.
